Sydnärke's IT administration - from decision to operation in just over two months!

When Askersund, Hallsberg, Laxå and Lekeberg municipalities merged into a joint IT board in 2014, the IT administration of Sydnärke was created. Hosted by Lekeberg municipality, the administration is responsible for IT support in the four municipalities and acts as the central hub for digital services.

At the beginning of 2025, it was time to choose a new case management platform. A process that had been going on for some time, but for various reasons the decision suddenly needed to be made quickly. In just a few weeks, the decision was made to go ahead with Easit GO - and already on May 15, the system was in operation.

- For us, it was about finding a solution that we could manage and develop ourselves. It was important to gain control over the platform and not be dependent on consultants for every small change," says Mattias Martinson, IT Specialist and designer for Easit GO at Sydnärke's IT administration.

A tight schedule

The implementation started in early March and two and a half months later the system was live. Keeping up the pace without losing quality required clear structure and close collaboration between Easit and the administration team.

- The onboarding model from Easit was very clear. We always knew what step was next, and that gave us confidence in the process. At the same time, we were helped to prioritize and focus on the right things, given the short time frame and the fact that the agreement with our previous supplier expired on the last of May. The last few weeks were intense, but thanks to good dialog and structure, we kept both pace and quality.

An important part of success was having the courage to prioritize. Not everything had to be in place from the start.

- We decided that inventory management would have to wait. The most important thing was to get the case management going. It was an important realization - to dare to opt out.

Support from other municipalities

Before the decision was made, the IT administration of Sydnärke contacted several other municipalities that were already working in Easit GO. This became an important part of the decision-making process. By hearing how other municipalities used the platform in practice, what experiences they had of implementation and how they worked further themselves, a clearer picture of what GO could also mean for Sydnärke was obtained.

- It was very valuable to hear what others have done. We got confirmation that what we perceived as strengths actually worked in practice. The fact that other municipalities could tell us that they got started quickly, that they built on themselves without consultants and that they were satisfied with the cooperation with Easit - it made the choice more secure.

Results and pride

Now, just a few months after going live, the difference is noticeable. Employees have quickly gotten used to the new system and appreciate its simplicity.

- I thought it would be more difficult for users to make the switch, but many say it was easier than previously thought. That's good to hear.

For Mattias, the pride in the project is clear.

- Not only did we meet the timetable, we did it in a way where we had and have control. That is what I am most satisfied with.

Looking ahead

The administration now sees GO as a platform that can grow step by step and eventually cover more parts of the business. The next step is to connect inventory management and create a better overview of computers, mobiles and other equipment. At the same time, there are plans to explore more integrations to reduce duplication and simplify everyday life for users.

- We already see that GO can become the hub of much of what we do. It's not just about case management, but about gathering our processes in one place where we can customize and build on ourselves. This is just the beginning. We have a solid foundation, and now we can build on it at the pace we want.

In the long term, the administration hopes to use the platform for more types of cases and processes, thus gradually reducing the number of systems that employees need to work in.
